Hi Hala, thanks for your time on Tuesday. Our quote for the fit-out is attached — $48,000 all in, valid for 30 days. Happy to walk through it whenever suits.
FOLLOW-UP ENGINE · FOR SALES TEAMS
QuotLoop finds the quotes you send and puts every one on a fixed follow-up schedule — Day 3, 7 and 14, escalating at Day 21. The loop runs end to end and writes each follow-up in full. Today it stops short of the send: nothing has ever gone to a customer. And the moment a reply lands, the rest of the sequence is cancelled.

Hi Hala, thanks for your time on Tuesday. Our quote for the fit-out is attached — $48,000 all in, valid for 30 days. Happy to walk through it whenever suits.
THE CADENCE
Final state: the follow-up is composed in full and stamped “approved by you”. Delivery is off by default, so nothing goes to the customer.
Not because you don't care about the deal. Because the quote went out on Tuesday, three more things landed on Wednesday, and nobody has owned the chase since.
A lost deal is information. A forgotten one is nothing at all.
THE LOOP
The schedule is software, not a judgement call made on a busy afternoon.
Spots the quote leaving your mailbox and reads what matters off it: customer, quote number, value, and when it expires.
Puts the quote on a fixed cadence — Day 3, Day 7, Day 14, and an escalation at Day 21. The timing is code, not a judgement the model makes.
Writes each follow-up when it falls due, referencing the real quote — the number, the value, the date — rather than checking in. The loop runs to completion; today it stops at the send, and nothing has been delivered.
Cancels every pending follow-up the instant a reply lands, then sorts it: won, lost, a question, a price objection, a delay.
Turns the reply into a task on your desk — call them, revise the quote, send the case study — instead of another unread notification.
Every touch, reply and decision recorded on one timeline against the quote, so you can always answer what was done and when.
WORKFLOWS
It starts from something you already do — sending the quote — so there is nothing to remember and nothing to log.
01 · CAPTURE
The quote is tracked because you sent it, not because someone remembered to create a record. QuotLoop reads the customer, the number, the value and the expiry date straight off the mail that left your outbox.
No data entry. Nothing to log.
02 · PERSISTENCE
The schedule starts on its own and runs a fixed cadence — Day 3, 7 and 14, escalating at Day 21. Each follow-up is composed in full against the actual quote, so it reads like you wrote it. Today the loop stops short of delivery.
The days are fixed in code, not chosen by a model.
03 · RESPONSE
A reply cancels the chase immediately, then gets classified — won, lost, a question, a price objection, a request for more time — and becomes a task with the next action already on it.
Silence is the only outcome it won't accept.
UNDER YOUR CONTROL
The moment a reply is matched to a quote thread, every pending follow-up for that quote is cancelled — before any AI runs at all. That ordering is deliberate and it is the guarantee the whole product rests on. Nothing is more damaging to a salesperson's credibility than a system that chases a customer who answered them yesterday.
The model has one job: read a reply and say what kind of reply it is — won, lost, a question, a price objection, a request for time. It does not decide what happens next. Deterministic rules you control do that, and the set of actions available to them is small, predefined and closed. It can compose a follow-up, create a task, or stop. It cannot improvise, negotiate or discount.
Every touch and every decision is written to a timeline against the quote, so “what have we actually done about this one?” always has an answer you can read rather than reconstruct.
Where the product stands today: the loop is built and runs end to end, composing the actual message it would send. Delivery is switched off by default and no follow-up has ever reached a customer on any deployment. Turning it on is a per-tenant switch, not a default.
A matched reply cancels every pending follow-up immediately, before any model is called.
The AI classifies the reply. Your rules decide what happens, from a closed list of actions.
Each follow-up is composed in full against the actual quote — the number, the value, the date — in your wording rather than a generic check-in.
Every touch, reply and decision on one timeline against the quote.
COMPARISON
The honest comparison is not with other software. It is with what happens now.
| Criterion | Chasing it yourself | QuotLoop | A CRM with sequences |
|---|---|---|---|
| What gets tracked | Whatever you remember | Every quote that leaves your mailbox, however it was written | Deals someone remembered to create |
| Setup | None | Done with us during the pilot — your IT registers one app | Varies — the step most small teams never finish |
| Data entry | A spreadsheet, if you keep it up | None — the quote is the record | Someone has to log the deal and keep it current |
| Follow-ups lined up | Two, usually, then it slips | All four, composed in full on a fixed schedule | However many the sequence was configured to send |
| Stops when they reply | Yes — you'd notice | Yes, immediately, before any AI runs | Usually, if the reply is matched to the right record |
| What it costs you | The deals you don't hear back about | $49–$300, whatever else you already run | Varies — typically per seat, plus the CRM |
NO SOCIAL PROOF YET
QuotLoop is early. What salespeople keep describing is the same thing: they know they should keep chasing a quote, they stop after a touch or two, and the deals that go quiet are never the ones they can name afterwards. That is what the product is built around. Real quotes will go here when there are real customers to quote.

FAQ
Not today — and when it does, not without your say-so. The follow-up loop is built and runs end to end: it works out when each touch is due and composes the actual message it would send, threaded onto the original quote. What it does not do yet is deliver. Sending is off by default and no follow-up has ever reached a customer on any deployment. Enabling it is a per-tenant switch, and either way the timing stays fixed code and the wording stays your template.
The moment a reply is matched to the quote thread, every pending follow-up for that quote is cancelled — and that happens before any AI is called. It is deterministic code, not a judgement. Chasing a customer who answered you yesterday is the single most damaging thing this kind of product can do, so it is guarded at the earliest possible point rather than left to a model to get right.
The wording is yours — the templates reference the real quote (the number, the value, the date it expires) rather than sending a contentless check-in, and we set them in your voice with you during pilot setup. There is no self-serve template editor in the dashboard yet; changes go through us until that ships.
No. QuotLoop works from the mailbox you already use. A quote is tracked because you sent it, not because somebody logged it — which is the step that usually fails. If you do run a CRM, QuotLoop sits alongside it rather than trying to replace it.
No. The model that reads your mail is self-hosted, so the content of your quotes and your customers' replies is not sent to any third-party AI provider. Your data is not used to train any model either, ours or anyone else's. For a product that reads commercial negotiations, we think that is the only defensible arrangement.
The classification is a proposal, not a verdict. Anything ambiguous or low-confidence goes to you rather than being acted on, and you can correct any classification — the correction and who made it are recorded. The one thing it does not need to get right to keep you safe is whether a reply arrived: that is matched deterministically, and it stops the chase regardless of what the reply turns out to say.
During the pilot we set it up with you rather than handing you a signup form. The one thing that needs your side: your IT registers an app in your Microsoft 365 tenant so QuotLoop can read the mailbox you send quotes from — a permission you can revoke at any time. After that it starts tracking the next quote that goes out. There is no sequence builder to fill in and no empty template library to populate.
Yes. Billing will be monthly with no contract and no setup fee. During the pilot there is nothing to cancel, because there is nothing to pay — see the pricing section.
